MEETING ROOMS

The Library offers the following meeting rooms available to the public for group use. Two or more people must be present to use these meeting rooms. 

  • Crawford Meeting Room
  • Small Conference Room

Library room use is limited to civic, educational, or cultural events, meetings, or classes. Parties and social gatherings are not an appropriate use of the facility. Any class or event held in the Library must be free and of a noncommercial nature. 

After reading the Room Reservation Guidelines below, select a reservation date and time for the desired room at the bottom of the page.

 


ROOM RESERVATION GUIDELINES

  • A valid Full-Privilege Lewisville library card is required to make a reservation and to check out a room. Valid library cards are those that are current and in good standing. The email address associated with this library card number will be used to notify the cardholder of activity on the reservation, such as confirmations, cancellations, and reminders. Student cards, temporary cards, and guest passes may not be used to check out a room.
  • Room reservations must be claimed by the person who made the reservation.
  • The cardholder under whom the room is checked out is responsible for any damages incurred during the use of the room.
  • No group may assign or transfer their space or reservation to another group.
  • Room reservation cancellations should be made as soon as possible. Reservations will be canceled if the cardholder fails to claim the room reservation (“no show”) within 15 minutes. Repeated failure to claim reservations may result in loss of the individual’s privilege of reserving a room in the future.

Meeting Rooms (1st Floor)

  • Meeting rooms, including the Crawford Meeting Room and Small Conference Room, are available to the public for use by groups of two or more.
  • One room within this category can be used by a group once per day, for up to a three-hour period.
  • A group can have no more than two reservations per calendar month within this category. Reservations can be made online, in person or over the phone up to three months in advance.
  • Walk-ins are also welcome pending availability. This can be outside of the allotted reservations per month, however, the limit of three hours per day still applies.
  • Staff must be able to monitor room use, therefore, interior window shades may be lowered no more than halfway.

Crawford Meeting Room

  • The Crawford Meeting Room must be checked out at the Information Desk.
  • The Crawford Meeting Room contains eight wheeled tables, 18 chairs, one side table, a whiteboard, a podium, a ceiling-mounted projector, and a projector screen. For more details on the room, click on the Info button next to the room name on the horizontal calendar at the bottom of this page.
  • A group may use the projector during their room reservation. An HDMI cable, VGA cable, and/or whiteboard marker kit may be checked out from the Information Desk. The Library does not provide any other AV/media equipment or adapters.
  • The Library offers laptop computers for use inside the library. Laptops are available on a first-come, first-serve basis and may not be reserved. Laptop checkout is subject to availability.
  • Seats 18 (Maximum occupancy: 39). Additional furniture may not be added without persmission from a library supervisor.

Small Conference Room

  • The Small Conference Room must be checked out at the Information Desk.
  • The Small Conference Room contains a stationary conference table, 10 chairs, a podium, a whiteboard, a ceiling-mounted projector, and a projector screen. For more details on the room, click on the Info button next to the room name on the horizontal calendar at the bottom of this page.
  • A group may use the projector during their room reservation. An HDMI cable, VGA cable, and/or whiteboard marker kit may be checked out from the Information Desk. The Library does not provide any other AV/media equipment or adapters.

  • Seats 10 (Maximum occupancy: 21). Additional furniture may not be added without persmission from a library supervisor.

STEPS TO MAKE A RESERVATION:

  1. Identify your desired meeting room on the horizontal calendar below.
  2. If available, click on the desired start time.
  3. The system defaults to a 3-hour maximum reservation period. You can modify the reservation end time in the pop-out box that appears below the horizontal calendar. NOTE: A 15-minute padding may automatically be added to your reservation time. This padding is not an extension of your reservation time.
  4. Click the Submit Times button, log in with your Lewisville library card number and PIN, and follow the prompts to complete your reservation. You will receive an automated email confirmation when your reservation has been submitted successfully. (NOTE: It is recommended that you add @mail.libcal.com to your trusted email list to help prevent the automated emails from going to your Junk folder.)
